New HotelTime version drops tomorrow! Check out what’s new

Hello, dear users!


On Thursday, August 14, 2025, we’re rolling out HotelTime 4.6.16 – packed with handy updates to make your workday (or at least your shift) smoother. Take a quick look – just a one-minute read, and you’ll know what’s new and where you can save a few clicks.


Automatic receipts for paid reservations – more time for you

For paid reservations from the SiteMinder channel manager, our system will now automatically issue a Deposit invoice for reservations from direct channels (e.g., hotel website). The receipt will be sent to the reservation owner by e-mail, while you can enjoy a coffee break – just have the mailing function enabled. Clear, fast and drama-free.

For both SiteMinder and D-Edge, hotels can now also choose whether to always send the automatically created receipt to the reservation owner or vice versa. To activate the functionality, feel free to contact our customer support.


Better overview, fewer clicks

No more guessing games when working with extras. The system will now automatically fill in the room if it is provided by the partner, along with the from–to dates. For pay-out services, you can now choose the correct cash register right away, so no more solving accounting Sudoku. And to avoid accidental posting to the guest’s account? Extras are no longer posted automatically. You decide what belongs where and whether you charge for extras or not, all with just a few clicks directly at room check-in.


New options for “Expected Payment Method”

We’re adding two new choices to the Expected Payment method in the application:

  • Virtual Card – perfect for cases when it’s clear the payment will be made via VCC, but the card token may not always come through correctly. Reception will know straight away what to expect.
  • Other – a universal category for anything that doesn’t fit into the usual boxes: vouchers, barter deals, internal agreements or the classic “check the note”.

These options can be set not only for a specific reservation, but also at ratecode level – so they’ll populate automatically in reservations.


Deposit Invoices even without perfect input data? HotelTime makes it happen

HotelTime can now create a Deposit Invoice even if the partner sends a request for document issuance in an unsupported language. If you use integrations with guest service applications or channel managers, you can be sure the document will be generated automatically – with no exceptions and no manual intervention.


Excel export for more reports

Selected reports can now be exported to Excel, allowing you to work with your data outside HotelTime. Elegant, precise, and exactly the way you like it. The feature is now also available for:

  • Revenue by nationality
  • Occupancy by room type
  • Housekeeping – detail
  • Post masters - open


Easier work with the company directory

After editing a company record in profiles, the system will now return you to the exact place where you made the change – whether you were in the directory, reservations, or a Post master. No more unnecessary jumps to the home page; everything continues smoothly right where you left off.


Reservation cancellations now possible also when external payments exist

Reservations with external payments without a document are no longer an exception – you can now cancel them easily, either manually or online. After cancellation, the payment will not disappear into accounting sky but will be neatly moved to:

  • The Report for cancellation fees, from where you can invoice it directly, or
  • The Pending external payments report, from where you can refund it or assign it to another reservation.

Wherever the payment came from and whatever the intention – you now know exactly how to handle it.


ID STAY now directly in the reservation detail

Make your work with external tools easier – in the application, you can now display the so-called ID Stay (unique stay identifier) for each room directly in the reservation detail. This feature is ideal for hotels that use third-party tools (e.g., certain RMS, CRM or guest service applications), where the ID Stay is crucial for correct data linking.

Simply activate the feature in the system settings → reservation tab → tickbox “Show unique stay identifier”.


Print grouped items made simpler – no confusion, no unnecessary permissions

Working with custom item groups for document printing is now much clearer. You can now:

  • Reset existing groups with a single click, whether they were created by the system or by a colleague who enjoys a challenge
  • Select or deselect all displayed items at once when creating a new group
  • Clearly see in the document detail that it was created with custom groups, so no one accidentally sends the client two versions of the same document

No permission to edit documents is required – so users can create their own groups without having access to disrupt accounting reality after closing.


Final document after splitting can no longer be cancelled

We prevent the cancellation of the final document created by splitting invoice items. After another related adjustment, it was temporarily possible to cancel this type of document in certain cases.


Correct display of amounts when invoicing cancellation fees

In The Report for cancellation fees, decimal commas no longer disappear. The amount will now carry over to the next invoicing step exactly as you entered it – including the comma.


Deposit Journal back at your fingertips

The report is now easily accessible again even to users without the Trial Balance module – all you need is the appropriate permission. We’ve introduced a small limitation to improve clarity and performance: data can now be displayed for a maximum of 31 days at a time. No matter where or when you're working, the necessary data is once again within reach.
