New HotelTime version drops tomorrow! Check out what’s new

On Thursday, December 18, 2025, we’re rolling out the new HotelTime version 4.6.19.  And once again, it brings a few handy improvements to make your life – or at least your shift – easier. Take a quick look: in just a minute, you’ll know what’s changed and where you can save a few clicks.

 

What’s new?


Enhanced Housekeeping all-in-one Report

We’ve polished the Housekeeping report to better meet your needs. Each user can now customise which columns and filters are displayed – and if you don’t need something, simply hide it.

Whether you're after a quick overview or a detailed view of room cleaning, the system remembers your preferences. Settings are stored per user, allowing each team member to tailor the report to their own needs.

We’ve also added a new column: “Operational room group”, helping you better organise and export data – even in Excel.

More efficient planning. Less confusion. Better clarity.


External Payments Now Also in Retail

Do you have a guest who wants to redeem a voucher outside of a reservation? No problem!

We’ve extended the external payment options to include Retail sales, so the reception can easily accept a voucher or another external payment form – even without a classic reservation.

Why is this great?

You don’t need any workarounds – just select External payment in the Retail, exactly like you would in a reservation billing.

It’s a small step in the system, but a big improvement for daily reception work. More efficient, more intuitive, and more guest-friendly.


Clearer Receipt Printing!

Want to see exactly who ordered what? We’ve improved receipt printing!

In the document detail, there’s a new option: “Print guest with items” – this lets you easily show (or hide) the guest’s name next to each billed item. Whether the order comes from a room or wellness, now you’ll know exactly who it belongs to.

The default setting (print/don’t print) can be chosen in System Settings "Print the first guest name for the items", or feel free to contact us for assistance.


More Transparent Document Handling

To make working with documents simpler and clearer, we’ve adjusted the permission settings for “Exported documents edit”.

Users without the right to edit exported documents can now at least mark them as processed.

We believe this change will help improve team coordination and maintain order in your accounting records.


Automatic Meal Plan Update When Changing Ratecode

You can now automatically update the meal plan when the reservation ratecode is changed – according to the default value set for the target ratecode.

Simply enable the option in System Settings – Reservations section “When editing ratecode, change meal plan to default.”

This feature ensures the meal plan will automatically update to reflect the configuration of the newly selected ratecode.


Updated Labelling of HotelBeds Payment Cards

For channel managers where HotelTime is connected via an API partner (e.g. D-Edge, SiteMinder), payment cards with the holder "HotelBeds Virtual Card" will now be automatically labelled as virtual.

This change allows for broader automation options in payment processing, bringing more convenience and automation to your operations.


Improved Room Type Fees

The room type fee function now allows you to set the fee as a "% of accommodation price without VAT" (just like standard fees).

And importantly – it always calculates based on the price excluding VAT.

Bugfixes, corrections

We’ve removed confusing characters and code fragments that used to appear when exporting the report to Excel.

The External note column has been removed from the export, as its format never actually transferred the external note to Excel.

You can now adjust the date format (dots vs. slashes) directly in Excel according to your preferences.

The result is an export that makes sense and is ready for further processing.

External Payment Now Works Seamlessly with Documents Too

Previously, it wasn’t possible to use external payment in documents because the provider selection was missing.

That’s now fixed. The behaviour is now aligned with what you already know from reservation settlement.
