And what’s new?
Updates to the Pay by Link Feature
We have expanded the functionality of payment links in HotelTime to include automatic sending of the deposit invoice to guests via e-mail – if you use our concierge module, the deposit invoice is automatically sent to the guest’s e-mail address as soon as the payment is completed.
You can now also refund these payments in the same way as regular online payments.
In addition, the deposit invoice is now issued by the system user for online payments. In the report Payment links, you will see the payment date and time, cross-currency conversions are counted correctly, and if the payment is not completed on the same day the link is created, the tax date and issue date will automatically match the actual payment date.
We have also introduced a new “Failed” status, helping you easily identify unsuccessful payments made by your guests.
Introducing the new Online Check-in Form
We are introducing a brand-new design of our online pre-check-in application within the HotelTime concierge module. The modern and intuitive interface will provide your guests with an even more pleasant user experience and premium start to their stay.
Additionally, we are adding the option to decide whether completing the form should be mandatory for all guests in the reservation. The form has also been extended to include new fields for collecting information (e.g., ID type). If you wish to change the pre-check-in form settings for only one guest per room, please do not hesitate to contact our customer support. New PROMO CODE Field in Reservation Detail
We are adding a new PROMO CODE field in the reservation detail, into which some channel managers can insert codes (e.g., special offers, discount, corporate) that are being used by your guests when booking on the hotel’s website. It is also possible to manually enter the promo code into the reservation, similarly to the reference number. We have also implemented this new field into reports such as Reservation search, Arrivals, Guest arrivals and Departures, to simplify your day-to-day work related to promo code handling.
Two-Factor Authentication for Safer Login
Enhance the security of your HotelTime account by enabling two-factor authentication (2FA)! You can now easily enable 2FA to strengthen login protection. If you have the appropriate user right, you can even enforce 2FA as mandatory for selected users. More information is available in this article.
Technical Closures Now Directly from Room Plan
Speed up your daily operations! You can now manage technical room closures directly from the room plan – clearly and easily. Create a closure by left clicking on the specific room and selecting the OOO/OOS icon. You can also edit or delete the closure just as easily with a right click. For even better clarity, we’ve also added new information to the closure display – the Target Room Status and closure ID.
Add Custom Footer Text to Documents
Enhance your communication with guests and partners by adding custom text to the footer of selected document types! This feature is available for all system templates, and for multi-page documents, the footer text is always shown on the final page. Everything can be easily configured under Main system set-up – Miscellaneous settings, where you can enter the text in any of the languages set up in the system for printing. Give your documents a more professional and unified appearance – tailored to the needs of your property.
Reference number available on correction invoices
The reference number entered in the reservation detail is now automatically transferred to the credit note if set in Main system setup - Accounts and documents, providing you with even greater clarity and consistency across issued documents.
Shared Maintenance View in the Housekeeping Application
Make work easier for your housekeeping team! Now, all maintenance tasks created by different users are visible across users, giving you a better overview and helping you avoid duplicate reports of the same issues. This saves time and increases the overall efficiency of your operation.
Improved Cash Journal Selection with New Sorting Logic
To simplify your work with cash journals, we have changed the sorting logic in the dropdown menus “New cashflow” and “Cash transfer”. Now, the current cash journal appears first, followed by those prepared for the next year, and finally the historical ones in descending order. This allows for faster access to the most relevant journals and easier orientation during daily operations.
Improvements in the VAT Output Report
With the new enhancements in the VAT Output Report, working with documents has become even more efficient. When opening the list, the filters “Issued From–To” are now automatically set to the previous month, giving you immediate access to the most recent data. Documents are loaded only after clicking “Display Invoices”, which improves speed and clarity. For easier navigation, we’ve also swapped the columns “Identity document no.” and “Branch”, so you now see “Branch” and “TAX ID” next to each other, making it easier to find company profile data.
Easier Access to Customer Support Contact
Your feedback matters – that’s why we have made the customer support contact more visible and accessible. You can now find the phone number directly in the top-right corner of the screen, under the phone icon.
Rooms OOO/OOS Overview Report and Excel Export
You can now easily export the Room OOO Overview report to Excel – we’ve fixed a system behavior that, in some cases, redirected you to the welcome page instead.
Fix Preventing Unauthorised Service Changes in Deposit invoice
We have adjusted the system behaviour when creating a deposit invoice. From now users without the active user right “New Deposit invoice (from reservation detail) - service changeable” can no longer change the predefined service.
Fix in the Meal Plan Report by Reservations and Rooms
We’ve resolved an issue where the meal plan report By reservations and By rooms crashed and redirected to the homepage in specific cases.
Vento QR Validation Token Generation Now Available Again
We have fixed the issue where, after moving a reservation, it was no longer possible to generate a Vento QR validation token for guests. This code is used by guests to authorise themselves for placing orders in VQR.
