TTLock (e-Rozeta) is an online lock system (e-lock). It allows access to hotel rooms using either PIN codes or cards. PINs can be generated directly in HotelTime and automatically sent to guests via the Concierge post-check-in email. 


Cards are coded using the same button as PINs (Lock coding from the room detail). It is not possible to have both PIN and card access active at the same time within one property. Coding can be generated for Standard, Accompany, and Day-use reservations. Access to common doors (e.g. main entrance, garage) is also managed within HotelTime.

Access via PIN codes 


Reception can generate 7-digit codes in HotelTime for room reservations, either before check-in or during the stay. Once at least one code has been created, a “Lock coding” icon appears in the room detail header. Reception can set the validity date and time for the code. Clicking the “Lock coding” badge opens a table with generated codes for that reservation. A code can be deleted by clicking the red cross. 


Important

  • After the validity period, the code automatically expires.
  • The validity of PIN codes is not limited by the length of the reservation.
  • Multiple active codes can exist for a single reservation, and they can also be generated for future reservations.
  • Generated PINs and their validity cannot be modified in HotelTime.
  • Changes made directly in the TTLock environment are not reflected in HotelTime.
  • If a reservation is moved to another room or cancelled, we recommend deleting the PINs first and only then moving/cancelling. After moving the reservation, the “Lock coding” icon disappears from the room detail. 


Tip: If you want the PIN to be sent to the guest in the post-check-in email, it must be generated before pressing the “Check-in” button.




Access via chip cards 


To use chip cards, you need a card reader for coding access. The reader connects to the computer via USB. In the room detail, click Lock coding and place the card on the USB reader. The system reads the card’s ID and assigns it to the selected lock.
All assigned cards are listed in the Lock coding overview, where they can also be removed – removal invalidates the card on the lock. Unlike PINs, no code is displayed for cards in the report. 




Report


All generated PINs and coded cards are available in the lock system overview (Frontdesk / Overviews / Lock system overview). Each line corresponds to one room reservation. The report shows PINs / cards for current and future reservations. 


If reception forgets to delete PINs/cards and the reservation is moved or cancelled, a warning icon appears in the report. By clicking the pencil and then the cross, the code can be deleted. We recommend keeping the report clear of warnings. 


Tip: For security reasons, set up a reception process for moving or cancelling reservations – just as physical keys are collected, old codes must always be deleted.



Settings and user permissions 


To create PINs from the room detail, no special permission is needed.
To manage the lock system, the user needs the Lock system permission.
In Settings → Application → Main system set-up/ Lock system
users can adjust default lock coding validity times and default Zones.



To view the Lock system overview report and PIN details, the user needs the Lock coding settings permission.
