Dear Customers,
On Thursday, February 19, 2026, we’re rolling out the new HotelTime version 4.6.20. And once again, it brings a few handy improvements to make your life – or at least your shift – easier. Take a quick look: in just a minute, you’ll know what’s changed and where you can save a few clicks.
What’s new?
Easier handling of group reservations
On the Split group reservation page, we’ve added a "Guest" column that shows the names of the staying guests for each room.
This makes it immediately clear who is staying where, so splitting large groups is faster and clearer — without time-consuming searching and manual retyping.
Company profiles now with a "Travel Agent" label
We’ve expanded company profiles with the option to label a specific company as "Travel Agent".
This distinction is reflected in integrations with third-party systems (e.g. RMS), which often need to clearly separate standard company profiles from travel agent profiles.
The result? More accurate data, better integrations, and fewer ambiguities in connected systems.
Booked vs assigned room type? It’s now clear at a glance in the Room plan
In the Room plan, the reservation bubble now also shows the booked room type — without you needing to open the reservation. If it differs from the room type the reservation is currently assigned to, both types are displayed and the mismatch is highlighted in red. Quick checks, fewer mistakes, and more confidence for the reception team.
Clearer statistics
In the Occupancy by nationality report, we’ve added sorting arrows to all columns. You can now quickly sort data by what matters most to you — for example, by the number of guest arrivals or overnights.
Your selected sorting is also automatically applied to printing and Export: MS Excel, so your outputs stay clear and consistent.
Special dates, more clearly organised
We’ve improved the Special dates list so it’s quick and easy to navigate — even if you have lots of entries in the system. It’s no longer just a simple “list”, but a clear report where you can display exactly what you need at the moment. Additionally, you can now clearly see the Special dates also in the daily forecast — just as you’re used to in the Room plan. Thanks to the highlighting, you can easily distinguish special days from normal operations and assess your hotel’s performance more accurately. Better visibility means more confident decisions.
New placeholder for reservation number in concierge campaigns
A new placeholder is now available to automatically insert our Reservation number from HT (not the reservation number from CHMS) into the concierge campaign templates Reservation Confirmation, PreStay and PostStay.
Use this placeholder: {%RESERVATIONID%}.
Departures export to Excel now keeps your sorting
You sorted the Departures report by the "Room" column nicely from 101 upwards… but the Excel export decided to do its own thing?
We’ve now set clear rules. Excel will no longer improvise and will fully respect the sorting you set in the report. What you see is what you get.
Column sorting in the Maintenance report is fully working again
In the Maintenance report, it looked like the sorting arrows in the table header were more decoration than a working tool. They simply refused to cooperate.
We’ve fixed that.
Sorting now works properly in all columns — ascending, descending, exactly as you need. No more clicking and hoping it works this time.
2FA deactivation is available again directly from the Users list
For properties without crosslogin set up, the "Fingerprint" button temporarily disappeared from the Users list — the one that allows authorised users to deactivate 2FA for a specific user.
It wasn’t an experiment. Just everyday reality.
The button is now back where it belongs. If you have the relevant permission, you can once again deactivate 2FA directly from the Users list — without workarounds and without searching.
You can safely edit the Rate heading again
There was an annoying issue with Rate headings — even if you didn’t change anything, simply clicking "Save" could redirect you to the default page and your changes wouldn’t be saved.
We’ve removed this behaviour. The Rate heading can now be edited and saved normally. You click "Save" and exactly what you expect happens. Which is, sometimes, a very welcome change.
Refunds across year-end are now processed without errors
We’ve adjusted how refunds are processed via the payment gateway and online card payments when moving between years. The system now correctly recognises the cashbook continuity and records the refund to the appropriate cashbook for the current year.
More certainty when selecting the right profile while creating a reservation
We fixed a situation where you selected one profile and the system occasionally decided to fill in a different one. Manual reservations now keep exactly what you choose.
Extras from D-Edge are now correct
We fixed an issue where, in some cases, the Extras price for reservations from D-Edge wasn’t being transferred correctly into HotelTime.
The correct Extras prices will no longer occasionally go missing in transit — like luggage on a connecting flight.
