Dear Customers,
On Thursday, September 17, 2026, we’re rolling out the new HotelTime version 4.6.25.
And once again, it brings a few handy improvements to make your life – or at least your shift – easier.
Take a quick look: in just a minute, you’ll know what’s changed and where you can save a few clicks.
What’s new?
The Loyalty module takes another step forward
Thanks to your feedback, we have expanded our Loyalty module with several new features that give you even more flexibility when working with loyal guests:
In addition to the existing options based on revenue or the number of nights spent, you can now also set up Loyalty based on the number of stays.
A membership start date can now be entered in the guest or company profile.
The minimum number of points for the lowest Loyalty category can now be set to 0, so you can include guests in the programme right from the start.
We have added a new Loyalty Overview report, where you can quickly see an overview of your loyal guests and their memberships all in one place.
This allows you to tailor Loyalty more closely to how your loyalty programme actually works while keeping all the important information conveniently at hand. You can find all the information, including the news items mentioned, in our article HERE.
Another step towards more secure login
As part of our ongoing efforts to improve the security of your applications, we have removed the login history from the login page so that information about previous users is no longer displayed unnecessarily.
And because you can never be too careful when it comes to security, you can find more practical tips on how to better protect your application and user accounts in our article HERE.
Unpaid invoices – easier to keep under control
We’ve made working with unpaid invoices a little easier. The Aging debtors report can now be automatically delivered to your email once a day in Excel format, giving you an up-to-date overview without the need for manual exports. To activate automatic delivery, simply contact our Customer Support team.
And when you do open the report directly in HotelTime, there’s now a quick link for each customer that takes you straight to the Accounts receivable ledger with all their documents already displayed – no extra searching or filter setup required.
We’ve also polished the Excel export itself: the Customer column now correctly displays the customer name instead of mysteriously staying blank. Your telepathic abilities can finally take a well-deserved break.
Printing an income receipt is now easier
You can now print an income receipt for a payment directly from the document detail. Simply click the printer icon and the confirmation you need is immediately at hand.
Because even small shortcuts can make your working day easier.
Automatic payments now ignore invalid tokens
Automatic payments will now ignore tokens with an invalid number (0000). These tokens will continue to be available for manual payments.
This change resolves situations where the system selected an invalid token instead of a valid one during an automatic payment, causing the payment to fail.
New block type for accommodation unit owners
HotelTime now includes Owner User Block (OUB) – a new type of room or apartment block designed primarily for owner apps and Channel Managers. An OUB can only be created via connected third-party systems.
This allows owners to easily block their accommodation unit for their own use and take it out of sale without having to create a standard reservation and fill in all the reservation details, which are usually not known at the time.
More information for your guests
With Concierge emails, you can now automatically send guests their exact room number as well. This is ideal, for example, for a Post Check-in message, so they have all the important information at hand straight away.
New cash receipt template for Malawi
For our clients in Malawi, we’ve introduced a new cash receipt template tailored to local requirements. The new version:
does not display the amount in words,
shows the specific payment type,
and prints the receipt in a single copy only.
Updates to the new document template for Sri Lanka
We’ve further fine-tuned the new document template for Sri Lanka, improving the display of item prices and adding a few design tweaks based on feedback from the local market.
Invoicing to deactivated profiles is now blocked
We’ve made the behaviour around deactivated profiles consistent – standard settlement or invoice creation is no longer possible for a deactivated profile, and the system will let you know right away if the selected profile is inactive.
Journal receipts better prepared for international use
For all non-Czech language versions, the amount in words is now displayed in English. Individual journal receipt templates can also newly display the specific payment type.
